Setting up roles and working with employees

The "Organization" section allows you to configure employee access levels to various platform modules. This is necessary for delineating the responsibilities of managers, buyers, operators, and other team members.
🔹 Step 1: Go to the "Roles" section
Open the "Organization" → "Roles" section.
You will see a list of already created roles and blocks:
- 📋 List of roles (Manager, Buyer, etc.)
- 👤 Current shifts
- 👨💼 List of employees and assigned roles
🔹 Step 2: Create a new role
- Click the "Create Role" button in the upper right corner.
- Enter:
- Role title (e.g. “Analyst” or “Quality Department”)
- If necessary, select the parent role from which the permissions will be inherited.
- Customize the color and style of the badge (the employee's visual identifier in the system)
🔹 Step 3: Setting up access
In the form that opens, you can flexibly configure which sections the user with this role will have access to:
- 📊 Statistics
- 📦 Sales
- 🧾 Finance
- 📞 Communication channels
- 📨 Newsletters
- 🤖 Bots
- 🧠 CRM
- 🗂 Business processes
- and others.
For each module, you can select the viewing level:
- Always - without limits
- According to the rights - within the established restrictions
- Never - access denied
Customization of individual reports is also available:
- 📈 By transactions
- 💵 By average bill
- 🔁 By conversions
- 📆 By shifts
- ⏱️By average handler response time
- 💬According to reports
When finished, click Save .
🔹 Step 4: Assign a role to an employee
- In the lower "Employees" block, you will see a list of all users.
- Opposite the required employee, click the drop-down list in the "Role" column .
- Select the required role (e.g. "Manager", "Bayer").
- The employee will immediately receive the appropriate access rights.
🔹 Step 5: Work with shifts (optional)
In the "Shifts" block you can see which employees are currently active.
You can end a shift by clicking Close to terminate the current employee session.

👨💼 Working with employees
After creating roles and adding employees, you can manage each team member directly in the "Organization" → "Roles" section. The available actions are described below:
🔹 1. Start a shift for an employee
You can start a work shift manually for an employee if they forgot to do it themselves or if it is required for correct time tracking.
- Click the "▶️" icon (start shift) next to the desired employee in the list.
The system will record the start of the shift on behalf of the selected employee at the current time.
The employee will then be able to continue the shift independently.
⏱ Useful for forgotten shift starts, data corrections, or assisting new employees.
🔹 2. Spots, landing pages, and mailings 📄
This section allows you to view and control which system objects a specific employee has access to. Clicking the "Spots, Landing Pages, and Mailings" button next to the selected employee opens a window with a list:
Spots are workspaces to which an employee has access.
Landing pages are landing pages that employees can view, edit, or use in their work.
Mailings - a list of mailings available to an employee for viewing, starting, or editing.
⏱ Useful for:
- checking employee access rights;
- security audit and delineation of responsibilities;
- diagnosing situations when an employee “does not see” the required spot, landing page, or mailing;
- setting up and monitoring roles in large teams.
🔹 3. Play as an employee 👁
You can view the platform interface on behalf of any employee to check access, errors, or demonstrate how to work with the system.
- Click on the "👤" icon (person) next to the desired employee.
- The interface will open in employee mode with his access rights.
- To return to your account, click "Exit Mode" at the top of the screen.
🛠 Useful for testing new roles, checking permissions, and training staff.
🔹 4. Remove an employee 🗑
If an employee no longer works in the system:
- Click on the trash can icon next to its row.
- Select an employee to whom all current entities belonging to the deleted employee will be transferred.
- Confirm deletion.
- All employee actions in the system are saved in history, but their profile will be deleted.
⚠️ A remote employee loses access without the possibility of recovery (unless invited again).
🔹 5. Activate / Deactivate 🔄
You can temporarily disable an employee's access to the system without deleting their account:
- To do this, use the "Activated / Deactivated" switch in the "Status" column.
- If the status is "Deactivated", the employee will not be able to log in to the system.
- In the “Activated” status – full access according to the role.
🔒 Convenient for shifts, dismissals, vacations, or temporary blocking.
🔹 6. AI Agent 😈
You can manage employee access to the AI agent—an intelligent assistant within the system. The AI agent helps automate tasks, analyze data, generate texts, and speed up employee work.
How to enable or disable AI Agent:
- Find the required employee in the list.
- In the "AI Agent" column, use the switch:
- "Activated" - the AI agent is available to the employee.
- "Deactivated" - access to AI functions is disabled.
🔒When is it convenient:
- when training new employees
